EARLY TEAR DOWN/MOVE OUT
The Bee Expo tradeshow will close at 5:00pm on Saturday, January 9, 2027. No one will be allowed to move large items or drive in vehicles until security has cleared all attendees from the wings. Absolutely no exhibitor is to tear down or move any items out before 4:30pm. Any exhibitor tearing down and moving their exhibit out earlier than this time, will risk losing their space for the following year. No lining up of vehicles will be allowed until after the show has been closed at 5:00pm and a PA announcement has been made that the show is closed.
Once security has determined that all patrons are out of the wings and a PA announcement has been made, exhibitors may start moving items out of the wings.
All exhibitors must be out of the building by 8:00pm Saturday, January 9, 2027.
BOOTH SPACE & LOCATION
Each booth’s space shall be in increments of 10’ x 10’ space. Vendor shall be apportioned booth
space in accordance with and at NAHBE’s sole discretion. Only one Vendor is permitted in the booth granted to Vendor no matter its size. Multiple vendors may not share a booth. The location of the booth will be at NAHBE’s sole discretion, and, while NAHBE will operate in good faith to organize Vendors beneficially for all vendors and the Expo, there shall be no right of recourse against NAHBE for the location of Vendor’s booth.
BOOTH STAFF & CREDENTIALS
Staff to be Registered. All booth staff, including any demonstrators, etc. must be properly registered and wear access badges issued by show management. Vendor booth should always have a member of staff that is older than 18 years of age.
Number. Vendors may have up to 2 representatives in a 10x10 booth, 4 representatives in a 10x20 booth, and for booths of 10x30 or more, one additional representative per 10x10 area. Booth Staff may attend lectures as part of their vendor pass, but Vendor’s booth must be attended by at least one booth staff member at all times.
Badge Pick-Up. During Vendor set-up, a check-in for Vendors will be located in the rear dock area of South Wing A near door E-9. Only individuals with Vendor badges will be allowed inside the building, including to help with an initial set-up. No attendee or other badges (aside from Staff) will be allowed in the Vendor area during set-up hours.
BOOTH FEE
Amount. The Fee for any booth shall be $525.00 per 100 sq. feet for the first two 10x10 areas granted to Vendor, and $475.00 per 100 sq. feet thereafter.
Time for Payment. Vendor shall pay the Booth Fee within thirty (30) days of the date shown on NAHBE’s invoice to Vendor. Failure to pay will immediately grant NAHBE the ability to terminate the grant of Vendor’s Booth, or charge an additional $100.00 late fee.
Cancellation by Vendor. Vendor may cancel its booth reservation at any time. However, cancellation before October 1st, 2026 will only be entitled to a refund of 25% of their Booth Fee, and cancellation after such date will forfeit their Booth Fee.
BOOTH INCLUSIONS & REQUIREMENTS
Included in booth fee: pipe and drape divisions.
Not included (vendor must bring or rent): chairs, tables, tablecloths, booth carpeting, specialty walls or panels, hanging signs, booth furniture such as lounge chairs or sofas, refrigerated or dry storage before or after the expo, or unannounced inbound shipments before or after the expo. We use AG Exhibitions for booth set-up and services.
BOOTH SET-UP
All tables, chairs, tablecloths, decorations, sound/electrical equipment, etc. needed for Vendor’s Booth must be provided by Vendor or obtained through KEC. Vendor is responsible for placing all orders for any additional needs
such as electricity (outlets in your booth), tables, chairs, etc. with KEC or AG Exhibitions, the decorator working with the Expo. Vendor is also responsible for coordinating freight/shipping items to the conference.
ORDER SERVICES
The Kentucky Exposition Center offers 120V electrical hookups (available for an additional fee), wired internet, Wi-Fi, and phone line installation: https://kyexpo.org/order-services/.
PALLET/STORAGE SPACE
Space is available for purchase, on a first come first served basis. Each storage space is $20 for each 48”x48” space. Each storage space can be stacked no taller than 8’ total. All vendors must CLEARLY MARK any pallets (on the wood/plastic pallet base) with their business name and cell phone number.
PALLET/STORAGE SPACE PICK-UP BOOTH
A limited number of spaces will be available for an additional purchase (in addition to at least one 10’x10’ standard vendor booth) as a pick-up location “inside” the vendor storage area. Each pick up booth will have a space of 10’x5’ for a window to facilitate pick-up out of the storage area. Each pick-up booth is $150, limit 2 spaces per vendor.
BOOTH CLEAN-UP
Vendor is required to remain open during the times specified by the Expo’s schedule, except that Vendor may begin Booth take down 30 minutes before the Expo’s closing. Early take down without approval directly from the NAHBE will immediately entitled NAHBE to a fee of $100 per 100 sq. feet of booth space occupied by Vendor. Vendor must remove its property (including all trash, pallets, etc.) from the Expo floor and docks after the end of the Expo. Vendor agrees to return its Booth space and any dock space used to the same condition in which it existed prior to Vendor’s occupancy. Vendor shall be liable for all storage, handling and cleaning charges resulting from the failure to remove its property from the trade show by end of day on Saturday (no later than 8 PM).
